NCACES 2018 Proposal Guidelines and Outline

Please note, this document is for you to prepare your conference proposal, not for submission purposes. Submissions are accepted via Hubb only https://ncaces2018cfp.hubb.me . Thank you.
Thank you for your interest in being a presenter at the NCACES 2018 Conference! We are excited you want to share your knowledge and expertise with the NCACES professional community!
The NCACES 2018 Conference will be held at the Crowne Plaza Cleveland at Playhouse Square from October 18-20, 2018, with the pre-conference scheduled on October 17. The proposal portal will be active beginning December 1, 2017 and close January 30, 2018 at 9pm EST. No late submissions will be accepted for any reason, so please plan accordingly.

Please read submission guidelines carefully. Failure to comply with the guidelines may result in your proposal being declined, possibly without review.

• There are four (4) presentation types. Please note,
all proposals in every category must be applicable to counselor education and supervision.
a. 50-minute Education Session. This session type allows for lecture, discussion, and activities, and is similar to a classroom-based learning environment. Topics may be conceptual, training focused, or present research findings. This format works well for research findings that can be applied to CES, introducing well-developed pedagogical strategies, or teaching educators/supervisors about unfamiliar topics. Projectors and screens will be provided.
b. 50-minuteRoundtable. Roundtables literally take place at a roundtable, allowing presenters and attendees to engage in-depth discussion about a topic. This format can be appropriate for many topics, including burgeoning research ideas and advanced topics. Topics may be conceptual, training focused, or present research findings. A maximum of two presenters can be included on roundtables. No technology will be provided.
c. 80-minute Panel Discussion. New! This session type brings together three or more professionals to give their views/experiences with regard to a singular topic. Each panel discussion will supply its own moderator. Your panel discussion should fall in one of these three broad areas:
• Pedagogy (e.g., how to teach a particular content area, teaching techniques, common student issues)
• Research (e.g., methodology, particular approaches, common issues)
• Supervision (e.g., approaches, structure, SOS, strategies)
• Leadership/Advocacy (e.g., strategies to develop leadership/advocacy efforts, successful programing)
Appropriate topics for this area would be those in which there are many strategies/approaches, and the presenters should have substantial experience with the subject matter.
d. Poster. Presenters display their work on a printed poster.Topics may be conceptual, training focused, or present research findings. Presenters are responsible for printing their own poster; display boards will be provided.

Time Line

Proposal submissions will be accepted from Friday, December 1, 2017 through Tuesday, January 30, 2018, 9pm EST. No late proposals will be accepted.
Proposals will be peer-reviewed between February 1 and March 10. Final decisions will be made between March 10 and April 15. The first presenter will be notified of acceptance or decline by April 15.
If your proposal is accepted, you will receive the date and time of your presentation with your acceptance by April 15. If accepted, your presentation can fall between Thursday, October 18 and Saturday October 20. No changes will be made to the schedule unless you can find someone with the same presentation type to switch with you. These requests must be made by August 1, 2018.
You will have until May 1 to accept or decline your presentation offer in the Hubb portal. If you do not respond by May 1, we will assume you do not intend to present.
Changes to presenters (i.e., additions, deletions, and presenter order) may be made between May 15 and June 15 only. No other changes will be permitted, and the only presenter changes after this date will be to cancel your presentation.
If your proposal is accepted, the first presenter listed must register for the conference by July 15, 2018. Failure to do so may result in your presentation being cancelled. All other presenters must register for the conference in order to present.

Proposal Guidelines

Please review the proposal grading rubric when creating your proposal. The strongest proposals are well written and include all the information requested.
Proposals should target issues and topics related to counselor education and/or supervision, and be applicable to counselor educators, supervisors, and/or graduate students. Proposals should not focus on counseling interventions or techniques unless the proposal is aimed at how to teach them, supervise them, research them, etc. General technique implementation is better suited for another conference, like ACA.
Proposals must address the conference theme,
Leading Cultural Responsiveness in Counselor Education and Supervision.
You will be asked to provide presenter expertise and to do so without revealing identifying information. This includes any institutions/groups with which you are affiliated/earned your degree, specific journals where you have on the topic, etc. A helpful thing to keep in mind is if a reviewer can Google the information you provided and figure out who you are, delete it! If you reveal presenter information, your proposal will be declined.
Each individual presenter may be listed on up to two proposals only in any place in the authorship order. If an individual's name appears on more than two proposals, all proposals will be rejected without review.
The first presenter must be an ACES member by the proposal deadline (January 30, 2018). We will vet all first presenters prior to review, so proposals in which the first author is not an ACES member will be rejected without review.
No handouts will be provided by NCACES. Presenters may upload their handouts to Hubb or bring their own hard copies to share with attendees.
Screens and projectors will be available for education sessions. Presenters are responsible for bringing their own laptop and any computer adapter cords to connect their computer to the projector.
